Air Ambulance Fixed Wing Accreditation

European Aero-Medical Institute (EURAMI) e.V.

The European Aero-Medical Institute accredits aero-medical providers performing transfers on fixed wing air ambulance aircraft. The Fixed Wing Air Ambulance category is divided into Regional & Intercontinental Air Ambulance and contains a variety of medical endorsements to honor the various specializations and capabilities in this category.

Accreditation is valid for three years. Re-Accreditation is performed every three years.

Eligibility Criteria

All providers applying for accreditation must fulfill the following eligibility criteria:

  • Demonstrate Maturity through meeting the required number of missions performed
  • Operate suitable aircraft (for Fixed Wing & Rotary Wing Categories)
  • Employ qualified and suitable staff
  • Be in good standing with EURAMI without any historic citations or incidents
  • Pay the non-refundable registration invoice of EUR 1000,- in full within 14 days of receival
  • Upload the EURAMI Application Documents which are as follows:
    • List of 250 completed medical air ambulance missions. The list must include the date of flight, pick up and destination location, tail number, names of the medical crew and diagnosis or the patient
      OR
    • List of 150 completed medical air ambulance missions. The list must include the date of flight, pick up and destination location, tail number, names of the medical crew and diagnosis or the patient
      AND
    • Two letters of recommendation from two Assistance clients
    • Aircraft Insurance (for Fixed Wing & Rotary Wing Categories)
    • Medical Indemnity Insurance
    • Current Curriculum Vitae of the CEO
    • Current Criminal Record of the CEO
    • Current Curriculum Vitae of the Chief Medical Officer / Medical Director
    • Current Criminal Record of the Chief Medical Officer / Medical Director
    • Proof or Registration and Membership in good standing from a national physician’s regulatory authority
    • The operator has their own part 135/145 + valid AOC (for Fixed Wing & Rotary Wing Categories)
    • Proof of ownership of dedicated air ambulances / rotary wing aircraft
      OR
    • exclusive contract with air taxi operator and appropriately outfitted aircraft (for Fixed Wing & Rotary Wing Categories)
    • Fully completed and signed Application questionnaire

NOTE: All documents must be submitted in English and/or with a certified translation.
The Application Period must be completed within 3 months from the date of receiving the access for data upload, invoice, and instructions from the EURAMI Office.

Accreditation Categories

The Accreditation Categories for Fixed Wing Air Ambulance Standards Version 6.0. are as follows:

  • Regional Fixed Wing Air Ambulance
  • Long Haul Fixed Wing Air Ambulance

The Categories are defined as below:

Regional Fixed Wing Air Ambulance

  • Performed Missions with up to 4hr of total flight hours
  • Suitable Aircraft Fleet
  • Minimum number of flights per year: 25

Long Haul Fixed Wing Air Ambulance

  • Performed Missions exceeding 4hr of total flight hours
  • Suitable Aircraft
  • Minimum number of flights per year: 15 (out of the minimum number of 25 flights per year)

To be re-accredited, a minimum of 25 flights must be performed annually.
To achieve Long Haul Fixed Wing Air Ambulance Accreditation a minimum number of 15 flights (out of the required minimum of 25 flights per year) must be performed.

These numbers are for re-accreditation. To apply for primary accreditation, the provider must first fulfill the eligibility criteria.

Medical Endorsements

The EURAMI Medical Endorsements for the EURAMI Fixed Wing Air Ambulance Standards V 6.0. demonstrate the provider’s transport capabilities according to type of transport and patient portfolio.

In order to successfully achieve accreditation or re-accreditation, a provider must pass the following criteria to achieve the mandatory Critical Care Aero-Medical Transports Endorsement:

Critical Aero-Medical Transports

  • The provider must be compliant with 100% of the ‘must-have’ standards.
    ‘Must-haves’ refer to standards that are safety and/or mission critical elements that EURAMI feel must be in place prior to accreditation.
  • The provider must be compliant with at least 90% of the EURAMI Standards v6.0 in each of the five categories:
    • Business Organisation & Ethics: at least 90% compliant
    • Safety & Quality: at least 90% compliant
    • Operations: at least 90% compliant
    • Medical: at least 90% compliant
    • Aviation: at least 90% compliant

Achieving 100% of the Must Haves in addition to achieving at least 90% on each section will automatically lead to the “Critical Care Aero-Medical Transports” Endorsement.

In addition to the Accreditation Categories which are based on the number of missions, length of missions and Aircraft Fleet, provider will be awarded optional (medical) endorsements based on their medical capabilities and type of missions performed.

The following endorsements can be achieved:

  • Paediatric Critical Care Transports
  • Neonatal Critical Care Transports
  • High Consequence Infectious Diseases (HCIDs) Transports
  • Mental Health Transports

The desired endorsements are indicated by the provider at the time of application for accreditation / re-accreditation, are being evaluated by the auditor at the time of the audit and confirmed by the validating auditor before being approved by the Board.

Endorsements can only be achieved at the time of the audit. Application for Endorsements between audit periods is not possible.

How to get accredited

The Process for Accreditation requires several steps as shown below. The timeline from Registration until successful Re-Accreditation can range from six to twelve month, depending on various factors such as availability of the provider, location and number of bases.

In order to apply for registration, a number of documents must be submitted in a digitalized format and uploaded to into the designated Document Management. The below list reflects an excerpt of the actual required document list which will be provided by EURAMI at  the time of application.

It is to be noted, that all documents must be less than 6 months old at the time of application and must be translated into English.

Personnel and Infrastructure

For the CEO:

  • Current Curriculum Vitae

For the Medical Director:

  • Current Curriculum Vitae
  • Current Criminal Record
  • Proof or Registration and Membership in good standing from a national physician’s regulatory authority

Aircraft

  • The operator has their own part 135/145 + valid AOC
  • Proof of ownership of dedicated air ambulances OR exclusive contract with air taxi operator and appropriately outfitted aircraft
  • Proof of ownership of dedicated HEMS OR equivalent contract with operator

It is to be noted that the accreditation process will require provision of all aircraft tail fin numbers.
You are required to submit all tail fin numbers for any aircraft used for medical transport.

Insurance

  • Aircraft Insurance policy
  • Medical Indemnity insurance policy
  • The registration process must be completed within 3 months.

The three-month period begins on the date the EURAMI office sends you the link for the registration folder on box.com. The EURAMI HQ will provide you with the timeline, steps and link for registration accordingly.

The Registration Application will be reviewed by the Executive Board. If successful, the applicant can apply for Accreditation in the designated category. The Accreditation Process must be completed within twelve months. For further information please contact us.

What does EURAMI Accreditation cost?

The cost for accreditation is divided into several parts and payment circles as illustrated below.

Registration Fee

A non-refundable fee of EUR 1.000,- will be invoiced upon receipt of the registration criteria documents.

This fee must be paid within three months.

Primary Accreditation Fee

The Primary Accreditation Fee is a one-time fee applicable after successful registration approval by the EURAMI Executive Board. The fee must be paid at least one month before the scheduled audit date.

The Fee is dependent on the number of designated Air Ambulance Aircraft in service. The fee is valid for one base.

1-2 Aircraft EUR 6.000,-
3-4 Aircraft EUR 8.000,-
5+ Aircraft EUR 10.000,-

For any additional base the Primary Additional Base Audit Fee is EUR 4.000,- per base.

Annual Membership Fee

The Annual Membership Fee is charged every year and is based on the number of Aircraft used by the provider. The Fee is valid for one base.

1-2 Aircraft EUR 2.000,-
3-4 Aircraft EUR 3.250,-
5+ Aircraft EUR 4.500,-

Annual Additional Base Membership Fee – EUR 1.500,- per year.

The fee will only be applied once regardless of the number of additional bases.

The Annual Membership Fee is invoiced together with the Annual Re-Accreditation Fee.

Annual Re-Accreditation Fee

The Annual Re-Accreditation Fee is charged every year. The Re-Accreditation Fee covers the fee for the Re-Accreditation every year. There is no additional fee at the time of the audit.

The Annual Re-Accreditation Fee is EUR 1.500,- per year. This Fee is valid for one base.

Auditor Travel Expenses

All programs are required to cover travel and hotel expenses for the auditor as per our travel policy.

Business class flight is required for flights exceeding 4 hours continual flight time.
The minimum business class seat standard is either “full-flat seat” or “angled-lie flat”.

Lodging should be at minimum a four-star hotel or flight crew equivalent if not available.
